Our Terms and Conditions of sale, which you have agreed to by authorizing payment for your AirTreks are as follows.

CHANGES AND CANCELLATIONS

AIRTREKS CHARGES $100 PER CHANGE PER PERSON

In addition to any airline fees, AirTreks charges a $100 per person per change fee to assist with rebooking tickets. 

This fee applies to any change, regardless of the reason. It applies to all change categories listed below, including airline changes.

DATE CHANGES: FEES WILL VARY BY AIRLINE 

Each flight in your itinerary has different fare rules and different airline fees for changing travel dates once tickets are issued. In addition to their change fees, airlines will also collect any difference in fare and tax between your original ticket and the fare available on your new travel date. Some very restrictive fares do not permit date changes whatsoever.

AirTreks charges a $100 change fee per person per change on top of any airline costs to reissue your tickets. Prior to departure all changes must be made through AirTreks. After departure, some tickets can be changed by the airline, but not all.

Some flights cannot be changed past your current date of travel.  Some airlines require advance notice for changes, so AirTreks cannot guarantee that you will be able to change any scheduled flight within 72 hrs of that flight’s departure.

ROUTING CHANGES: NOT PERMITTED ONCE TICKETS HAVE BEEN ISSUED.

Once your tickets have been issued, routing changes (including changing point of origin or destination, adding, removing, or changing stopovers or connections) are not possible. If you need to make a routing change, your original ticket must be submitted for a refund, and a new ticket purchased for your new travel routing. If your original ticket is not refundable, to change your route you will most likely need to buy a new ticket.

AIRLINE CHANGES: AIRLINES CAN CHANGE ROUTE and DATE/TIME – At any time, the airlines that are part of your AirTrek may change the connection city and or date/time of that leg of your AirTrek. They also have the ability to cancel the flight if they are not able to operate as scheduled. 

AirTreks is available to assist you in navigating such airline schedule changes for a $100 fee per person per instance.

DON’T SKIP ANY FLIGHTS WITHOUT CHECKING WITH AIRTREKS OR THE AIRLINES

Flights need to be used in the order they are issued. You cannot miss or skip a flight. In most cases, if you miss or skip one of your flights, the airlines will automatically cancel all of your subsequent flights. Please inquire with us if you need to miss, skip, or cancel the flights you have booked once tickets have been issued.

NAME CHANGES: NAMES CANNOT BE CHANGED ONCE TICKETS HAVE BEEN ISSUED

If the name on your passport does not exactly match the name on your tickets, some airlines will not allow you to travel. Due to the nature of complex international bookings, name changes cannot be made after tickets have been issued. If you provide us with the incorrect name at the time of booking, and you wish to update your name, AirTreks will cancel your tickets and rebook them with the correct name. AirTreks charges $100 per person as a rebooking service fee, and we will also need to collect any cost difference between your original tickets and the new tickets to pass to the airlines.

If you provide us with the incorrect name and choose not to update your name (not recommended), AirTreks advises arriving to the airport early for every flight, and cautions you that some airlines may not allow you to travel on the tickets with the incorrect name, and will either require you to buy a new ticket or pay a change fee.  If you need AirTreks to assist with such changes, our $100 per person per change rebooking fee will apply.

REFUNDS: ALL PURCHASES ARE NON REFUNDABLE

All AirTreks purchases are not refundable for any reason. Cancellations for any reason whatsoever, including medical reasons, death in the family, strikes, wars, weather, natural disasters, airline default, coronavirus travel restrictions, or government travel warnings will not entitle you to any refund. Trip cancellation and interruption insurance is therefore highly recommended. 

YOUR RESPONSIBILITIES

Covid-19

You are responsible for knowing the restrictions, quarantines and anything associated with Covid-19 and your ability to travel to the airports, countries and regions that are part of your AirTrek.  The airlines AirTreks books you on, and Airtreks are not responsible in the event your flights is cancelled, you are not allowed into a country or for any other reason.  

VISAS AND ENTRY REQUIREMENTS

You are responsible for obtaining any necessary visas and travel permits for all countries that you will be traveling to or transiting through, and for informing yourself as to which countries/areas require visas and/or special permits. Visa and entry requirements may vary widely depending on your nationality, the length of your stay, and the purpose of your visit.  

Customer is responsible for having a valid passport at least six months after the latest expected end date of your trip, as some countries will not allow entry if your passport expires sooner.   

HEALTH AND SAFETY

You are responsible for determining what, if any, vaccinations or other health or safety precautions are necessary or recommended for your destinations. Some countries on your itinerary may require certain vaccinations for entry, require a quarantine period, or prohibit entry to travelers from certain nationalities. It is your responsibility to confirm with your doctor about which vaccinations may be required, to understand which countries you are allowed to enter, and to be aware of quarantine requirements that may be in place for your destinations. Government health advisories can be found here: cdc.gov and who.int.

Traveling with medicine: Some countries place restrictions on what medication can and cannot enter across their border. If you will be travelling with prescribed medication or vitamins, it is your responsibility to check with the embassy/consulate of your visiting country to determine if your medication is permitted entry. Special written permission from the visiting country may be required for entry.

BAGGAGE

You are responsible for any luggage fees charged by the airlines during your trip. When you are packing, please keep in mind that the international standard is 20 kg. (44 lbs.) of free baggage per person, total including all carry-on baggage. Some airlines no longer allow free baggage and will charge for carry-on as well as any checked luggage. On flights to, from, or within North America, paying for all checked baggage is the norm. This includes flights from/to the US, Canada, Mexico, Caribbean destinations, and Costa Rica. Most flights within Europe also now charge for all checked luggage.

The fees will vary from one carrier to another, and usually must be paid upon check in. 

CONFIRMING FLIGHTS BEFORE DEPARTURE:

AirTreks recommends that you visit the airline website at least 3 days before each flight’s scheduled departure to confirm that flight’s time and date.

AIRLINE DEFAULT OR AIRLINE SCHEDULE CHANGE:

AirTreks takes no responsibility in the event of an airline’s default, cessation of service on a ticketed route or schedule change. Travel insurance that covers airline default is highly recommended. Note that many travel insurance policies do cover airline default, but do NOT cover airline schedule changes, unless those changes occur on the day of departure.

Customer acknowledges that airlines may cancel flights, change flights, and/or cease to operate and if this happens, customer’s AirTrek will need to be changed to at fee of $100 per flight change per person.

OTHER

SEAT REQUESTS

AirTreks will make every effort to confirm seat reservations when possible. Please be advised that some airlines will assign your seat only upon check-in which may only be available online 24 hours prior to departure.  If this is the case, you must make your request directly through the airline.  Requests for specific seats cannot be guaranteed.

ACCRUING FREQUENT FLYER MILES

AirTreks does not guarantee that you will be able to accrue 100% of the miles flown on your trip into any particular frequent flyer account. AirTreks is not liable in any way should you fail to accrue miles on your tickets. Whether or not you can accrue miles on any particular tickets is dependent on the rules of the individual frequent flyer program as well as the rules of the specific fare at the time of purchase. If you are seeking to accrue miles on your tickets, you should 1) check to ensure the booking class of your ticket is eligible for mileage accrual, 2) ensure that your frequent flyer number appears on your boarding pass, and 3) review the rules for mileage accrual between partner airlines. 

UPGRADES

An AirTrek may not be eligible for upgrades. This includes using miles to upgrade as well as upgrades that are purchased after tickets have been issued. If it is possible for us to upgrade your ticket, Airtreks fees and airline change fees will still apply when upgrading.

CONTACT INFO

Per IATA Resolution 830D, AirTreks will provide passenger contact details to all airlines participating in your itinerary. Your contact information will only be used by the airline to contact you in case of operational disruption. Please inform us in writing if you do not wish for this information to be shared.

RELEASE OF RISK

You understand that there are risks and dangers associated with travel. You assume these risks and acknowledge these dangers. You release AirTreks International, its agents and employees, to the extent permitted by law, from liability for the negligent acts of airlines, sub-contractors and affiliated companies.
